2009-10-14 OpenOffice.org Printing Terminology in General

The improved printing capabilities will lead to an improved functionality which has to be named somehow. Unfortunately, the inconsistency of some previous terms make it hard to differentiate the new functionality. More worse, our users might not be able to understand both new and existing functionality. Thus, this section will discuss the existing and some new terminology with regard to printing.

Example: In Calc, we can add "Print Ranges" for one or more "Sheets". Then, we print the document with "Range: All Sheets" and "Withing Range: All Pages". To help the environment, we change the setting "Pages per Sheet" in the tab "Page Layout". Did you get it? :-)

Note: This section is a "discussion space" until a solution is finally summarized and will be proposed for implementation. The other string reviews are independent from the discussion taking place here.

Print Preview

A preview of what the document will look like when printed out. Therefore this preview should take as much as available print options into account. The print preview is given in the print dialog and therefore complements the page preview available in the file menu in some applications.

  • [Draw, Impress] The print range refers to the area the printer is physically capable to print on. It might be smaller than the physical paper sheet size.
  • [Calc] The print rages refers to one or more cell ranges which should be considered for printing. The functionality is available at Page Format - Print Ranges.
  • Issue: Especially in Calc, the user might misunderstand the descriptions. „Print Ranges“ are subsets on sheets, whereas „Sheets“ are subsets of the „Range“. (CN, 2009-10-13)
  • Proposal: Change the terminology to "Printable Range" in Draw/Impress. (CN, 2009-10-13)
  • OK, Printable Range is better, but why is this not also in Calc? (EM, 2009-10-14)

Perhaps avoid both "area" and "range", and use "unprintable margin"? Suggestion for the error message in page setup: "The margin settings induce output into the unprintable margins of the paper sheet." or "The margin settings are smaller than the unprintable margins of the sheet of paper."   • @EM: Mmh, maybe it might be helpful to change that, too. Currently there is an open point how to tell the "identity" of the printer (see "Printer Information / Printer Details" below) which is "read-only" data. Then there are the printer settings which can be altered by the user, e.g. change the color output to BW. What would be the best naming to "reflect" the user-defined settings. Alternatives: "Preferences...", "Settings...", "Properties..." (Context: Button next to the printer selection drop-down).

Range

Range is used in the print dialog and refers to the range of pages/sheets/slides to be printed.
  • Issue: Range might be messed up with the current „Print Range“. (CN, 2009-10-13)
  • I do not understand why there are two concepts of range. Maybe I haven't looked at the material closely enough, but I am confused: A range in the context of printin gis by definition „the range of contents within the document from a starting point to a stopping point that I want to print.“ Why is there a „Within range“ (prev „Thereof print“) at all? To keep the concept pure and the dialog understandable wouldn't it be better to just have the user choose separate print ranges in separate printouts actions? Or was this a case that Regina explained as necessary? (EM, 2009-10-14)
  • @EM: Calc is special case. It is (work)sheet based and not page based, so it first collects all pages based on all/selected sheets. Then you can define a range based on these pages. This has been a requirement for the Calc print overhaul some time ago (which FL supported).

Sheet refers to the physical paper sheet it is printed on. Example: Four document pages can be printed on one physical sheet.
  • Issue: Sheet refers to both a „(work)sheet“ in Calc and „sheet of paper“ for printing. Especially in Calc it is misleading, since the „Range“ is set in „sheets“ and N-up printing also refers to „(pages per) sheet“. (CN, 2009-10-13)
  • Problem: But, we don't have the space in the new printerpullpages dialog for using „paper sheet“. The space of the dialog is restricted because of the use on Netbook screens :-( So I also thought of adapting the contents of the corresponding drop-down field for "pages per sheet" - but I don't have a good idea for that. Again :-(
  • Proposal: Keep current terminology. (CN, 2009-10-13)
  • „physical sheet“ = „sheet of paper“ („paper sheet“ = „Bettlaken aus Papier“) maybe this could be used in some dialogs to increase clarity? i.e. „(pages per) sheet of paper“ or „printed page“ There must be room for longer wording or there will not be room for the loclizations which are almost always longer than English. (EM, 2009-10-14)
  • @EM: You are right concerning the other languages. But even with the advanced terminology, the problem will get more worse in other languages. So what about to define "Physical Sheet" and to decide to be less accurate in the dialog? The reason is, that the tab page "Page Layout" is present on some operating systems, only (see entry for "Page Layout" below). The "Sheet of Paper" seems to be a bit problematic when used in context (e.g. "Pages per Sheet of Paper"). However, both "Physical" and "...of Paper" miss the requirements for PDF export / printing.

The tab page „Page Layout“ provide options how to place pages on sheets or to select which pages shall be printed.
  • Issue: The items on the tab page „Page Layout“ are both related to „Pages“ and „Sheets“. It is a "sub-issue" of the sheets vs. pages discussion. (CN, 2009-10-13)
  • Problem: It should be called „Sheet Layout“, because it refers to the physical sheet of paper. But I think that „Page Layout“ is well known... (CN, 2009-10-13)

Printer Details
The detailed information on the printer, e.g. status, location and comment.
  • Issue: The current printer details (e.g. name, location, status) don't show up in the UI, but "Printer Information" is used in the application help. Currently we use "Printer Details", but this may not make clear that it is referred to "read-only" information. What kind of terminology might be better? (CN, 2009-10-18)

2009-08-25 String Review by Sophie (French Translation)

Sophie - one of the language team representatives - had been asked to have a look on the strings concerning potential translation issues. Although Philipp implemented basic layouting capabilities for the dialog, the given information is very valuable. Thank you so much, Sophie!

Comment by Sophie: I based my feedback on the current design mockup and Liz comments. Please keep in mind that it's based on FR strings which are not the longest (I think pt-BR is longer)

  • Writer:
    • General Tab : [Print to file...] button, FR language will need 25 characters to display the complete string, so the button has to be quite large
    • Page Layout Tab : [Pages per sheet] string, FR language will need 18 characters to display the string, I fear that the space is to short to display the last characters (this is also on the other module Page Layout Tab).
  • Impress / Draw: if Brochure printing is enabled, there is this string displayed at the bottom of the dialog: [Note: Disable brochure printing to change the size setting.] This string will request 77 characters in French and may be 2 rows.
  • Calc: Page Layout Tab : [Left to right, then down] drop down list, this string will take 37 characters in French. But it should not be an issue as the drop down list is quite large.

2009-08-13 String Review by Liz (Formulation)

A string review of the English text has been made by Liz - thanks a lot! Additional proposals have been added to improve the meaning of several string. The current intermediate result has to be reviewed again. Until then, there won't be any updated mockup for "Current Design Mockup".

Liz Accepted (Todo for CN) The sub-group name "Thereof print" seems to be an issue because of the mixture of nouns and verbs. Liz proposed "Withing the print range, print:".

  • EM->CN: I suggested "Preview" only, so I'm curious why you added "Print Preview" I thought we are just talking about the placeholder string in the dialog on the left where the preview will appear. Of course if this is a menu item that will be in contrast to Page Preview, then that is another story.

Liz Undecided Proposal to change the group name "Print", since it is inconsistent with the rest of the dialog (verb vs. nouns). And it seems to be ambigious.

  • EM->CN: "Printout" is at least a noun so it is better, but something still is not perfect. It is only for hard copy (e.g. not print to file) http://www.merriam-webster.com/dictionary/printout. so is this okay or not? Anyone else with an opinion? (Aug26)
  • @EM: I thought about it again and I'm still uncertain - basically both the items relate somehow to "Contents":
    • "General" does more relate how the data is presented (Writer: no document text, only notes; Impress: Handouts - which rather defines how the data is printed instead of adding/removing data).
    • "OpenOffice.org ApplicationName" does allow fine grained (rather object specific) control

  • @EM: I again thought about it. Since the meaning does somehow relate to the elements in the application menu "View", the noun "Printout" might fit. Since there are several elements which are based on "real" printing (e.g. sheets of paper, printed pages), we might never be able to resolve it. So I change it to "Printout" and we keep "Contents" for the object details. --ChristophNoack 14:27, 18 October 2009 (UTC)

Liz Accepted (Todo for CN) Proposal to remove "right pages / left pages" from "Include, because it won't work for RTL text direction.
  • Regina noticed that, too (some days before). Personally I would like to make "front sides / back sides" a bit more self explaining. @Liz: How about "Front sides / odd pages" and "Back sides / even pages" (or is it required to say e.g. "odd-numbered")? --ChristophNoack 20:53, 24 August 2009 (UTC)

Christoph New Change "Add blank pages for page breaks" to "Add blank pages for page breaks automatically". From my point it isn't clear that only some page breaks are affected. Originally I had something like "for certain page breaks" which isn't clear enough.

  • @Liz: Today I've learned that the pages are already there during the normal document editing, but usually "invisible" to the user - there is a discussion on de-users, Thread "... Deaktivieren von Automatisch eingefuegte Leerseiten drucken...". The blank pages get counted (can be seen in the status bar) and shown in "facing pages" view mode.
    • Original formulation (OOo 3.1): "Print automatically inserted blank pages"
    • Maybe better (just an idea for some brainstorming): "Print blank pages automatically inserted for book layout"

Christoph, Jörg New Writer: Added/changed drop-down entries for Notes, since there was no proposal yet. The current proposals for "Notes" are:
  • None (document only)
  • Notes only
  • List at the end of document
  • List at end of page

  • EM->CN: does "List at the end of document" make them into "end notes"? In both cases, you can't sometimes use the article and at other times not use it, so: List at the end of the document, List at the end of the page, but now it is really long. There is also the problem of "List" being ambiguous (N/V). I've got to think about this more to come up with a better solution. Maybe "move", or "place" or "put"? (Aug 26)
  • @Liz:
    • Good point, no, there is no relation to "end notes" since it is some kind of meta data (reviewer notes) which are printed at the end of the document. The "end notes" are already part of the document.
    • If we decide to go for some "descriptive" entry, then "place ..." looks fine to me
    • By the way, there is also an issue for that created by jsk at Issue 104314 . The original issue discussed different list box entries which were not part of the spec, nevertheless... --ChristophNoack
  • Todo: The term "Notes" has been renamed to "Comments" in OOo 3.2. This has to be updated in the printing dialog.
Regina, Christoph New Changed "Distribute on multiple pages" to "Distribute on multiple sheets", since we may better refer to "sheets" when thinking of physical paper sheets. A similar naming has been used on the "Page Layout" tab page. Unfortunately, this is different to the currently used string and also difficult to understand with regard to Calc (worksheet vs. paper sheet). And, in Impress there also is "Slides per page" for the handout printing. Personally, I'm fine with "...multiple pages" here, since we won't be able to provide a clean solution. Regina 15:03, 25 August 2009 (UTC) Undecided On Writer, Tab "Options" there is the checkbox "Reverse page order". It should be "Reverse paper sheet order". Reasons: The option is needed for manual duplex printing and is not only applied to normal print but also to brochure printing. In the latter case one paper sheet carries pages from start and from the end of the document and you do not want to alter this order, but the order of the paper sheet stack. For example, you print the front of the paper sheets with pages 16/1 14/3 12/5 10/7 with face down. Then the top empty back sheet it that with 10/7. Thereon the pages 8/9 must be printed, but normal print order would print pages 2/15 next. Therefore you must reverse the paper sheet order either for the front print or for the back print.
  • @Regina: Currently the name states what it does - it only reverses the sheet order. If this is not desired, then the "logic" has to be changed to match the expectations. I have created an issue at Issue 104662 to discuss that. --ChristophNoack 19:15, 31 August 2009 (UTC)
Regina 15:15, 25 August 2009 (UTC) Kept The module specific tab has the title "Openoffice.org Calc", for example. I see no reason to put "Openoffice.org" in that place. I thought that the whole dialog is that dialog, which is independent of the operating system and depends only on the vendor. Therefore I would expect "OpenOffice.org" or "StarSuite" for example in the title bar of the whole dialog to distinguish the dialog from dialogs provided by the operating system.
  • @Regina: The reason for that name is given on the printerpullpages main wiki page. We did go for that since the document type like "Presentation" could be misleading, so we went for the application name. There has been a decision some years ago to use the full name to better separate the applications (e.g. title bar, options dialog). An other alternative could be to use a generic name like "Document", but then the users may not notice the very different content among the applications. --ChristophNoack 16:42, 30 August 2009 (UTC)
Regina 15:33, 25 August 2009 (UTC) Accepted On tab "Openoffice.org Impress" and "Openoffice.org Draw", section "Size". "Tile pages" is misleading because of the plural "pages". This feature repeats one slide/page on the paper sheet, if the slide/page is smaller than the paper sheet. The plural leads to the wrong assumption, the feature would do a kind of N-up, filling the paper sheet with slide/page 1,2,... till it is full. Proposal "For small slide/page tile paper sheet with repeated slide/page." or shorter "Tile paper sheet with repeated slide/page". In addition be careful to distinguish slide/page for Impress/Draw.
